Share or Embed Projects and Tools on Social Media

How to share projects and tools on popular social media sites and email, or embed tools on your website.

An essential part of driving engagement is promoting and sharing your consultations. Using the Share features, you can promote projects and tools among different audiences on your social media platforms and other websites.

The Share options are:

Share on Social Media

By default, the social sharing feature is enabled. You can deactivate this feature site-wide by navigating to Site Settings > Project settings and deactivating Display social media sharing icons. Remember to always Save your settings.

If enabled, the social share icons will display on your published projects and tools. Admins and participants can share from the live page. You can only set this at the site-wide level; you cannot set this for individual projects.

Share Projects

Use the social icons below your project title to share your project on Facebook, X, LinkedIn, or via Email. You can share immediately after you publish it or when you’re ready to promote; shared draft projects won’t be visible when shared via social media.

When a participant selects an icon, a pop-up window will appear, prompting them to log in to their social account.

Share Tools

You can also promote your tools individually, for example, you can share an Ideas board that you want to promote in your community. For Ideas, you can Share the complete board from the About section or use the Share icon on individual posts.

You must only share published tools, and the position of the social icons will change based on your project theme.

Participant Post-submission Sharing

Participants can also share tools on social media after they submit if you go to your project's Advanced Settings and switch Enable Social Sharing on. If your project is Protected, this setting is automatically deactivated.

Please note that this option is unavailable on survey submissions and idea posts.

With this setting enabled, participants and admins will see a social share pop-up after they submit their contribution to the tool. They will see this every time they submit to the tool unless they select the No thanks link.

What Does it Look Like?

Sharing projects and tools will follow the conventions of each platform. Shares will look like:

  • Facebook: Share posts, including the Project image, Title, and Description on timelines, in groups, on pages you manage, or via personal message. If an old image appears, you can use Facebook’s debug tool by entering the project page URL and select Debug; if it persists, select Scrape again until the correct image appears.

  • X: Shares display the user, title, image, and description excerpt but can be configured to only display the link. Consider adding a few words or appropriate #hashtags to make the post look more interesting.

  • LinkedIn: Decide who to share it to on LinkedIn, showing the project's image and title, and you can add a comment.

  • Email: Email sharing is probably best used to quickly let a few people know about a new project or tool. For example, colleagues within your organization or specific participant groups. Selecting the Email icon will open a draft email in the user's email client containing a link to the project or tool.

You can also use the Add to email option in a survey's Share tab to embed an emoji question into the HTML of an email or newsletter. When the recipient chooses an emoji option, the standalone link will open in their browser, where they can complete and submit the survey

Embed or Link to an Ideas Board, Survey, or Quick Poll

You can also embed Ideas, Surveys, or Quick polls onto a website or use a standalone link to create a landing page for the surveys and quick polls.

  1. Go to the project with the tool you want to share.

  2. Select Share on your tool to open the Share tab. You'll see the criteria you must meet to share your tool; when all ticks are green, you'll see a Ready to share notification.

  3. To create a landing page for the tool, select Standalone and select Copy Link.

  4. To embed, select Add to webpage or Add iFrame and select Copy code.

  5. Paste the link or embed code into the required environment. For example, you can send the link via email or embed the tool into a website.

Anyone with access to the link or tool can participate.
