Using the Participant Filters

Learn about the different filters that can be used in the participants section to create groups of community members.

The filters in your Participants database are used to create groups of your participants. You must use at least one filter when creating groups, so we provide a range of them to allow you to customize your groups.

Additionally, each filter has differing configuration options. The available filters are:

Filter

Purpose

HubsEnterprise license only

Shows participants that have contributed to projects in specific hubs.

Check each Hub you want to include.

Project tags

Shows participants that have engaged with projects with the selected tag. For example, each participant who submitted a survey on a project with the “Building and Planning” tag.

Check each project tag you want to include.

Projects

Filter by the level of engagement of specific projects.

Check each relevant project for each level of engagement:

  • Aware

  • Informed

  • Engaged

Please note that it may take up to 24 hours for the Participants list to update after the contribution.

Email

Show participants with a specific email. For example, use your organization’s domain (such as “councilname.gov”) to filter your list to staff members only.

  • Contains: include emails with what you enter

  • Does not contain: exclude emails with what you enter

Participant tags

Show only participants with a specific participant tag.

Check each participant tag you want to include.

Screen name

Show participants with a specific username. This can help you find individual participants.

  • Contains: include screen names with what you enter

  • Does not contain: exclude screen names with what you enter

Sign up questions

Filter participants by what they answered in the Signup Form. This is helpful when using demographics. For example, filtering by year of birth.

  • Choice question (Checkboxes, Radio buttons, or Dropdown): check each answer you want to include

  • Date: use the calendar to select a Before or On and After date.

Status

Show participants by the status of their account. For example, participants that are Pending activation, so you can resend the activation email.

Filter participants that are:

  • Active: have verified their account

  • Blocked: have been blocked by admins

  • Pending activation: have registered, but not verified their account

Suburbs

Show participants who have selected a specific suburb in their Signup Form.

Select each suburb you want to include.

Imported

Select Yes to see imported participants or No to exclude imported participants.

Joined

Filter participants by when they registered on your site. For example, you can filter to participants who joined Less than 7 days ago to send a welcome newsletter.

This filter can help you create dynamic participant groups that update themselves.

  • Before: enter a calendar date and see all participants who joined before this date.

  • After: enter a calendar date and see all participants who joined after this date.

  • More than: see participants who joined More than [x] days ago

  • Less than: see participants who joined Less than [x] days ago

Last seen

Filter participants by when they last logged onto your site. For example, you can filter to participants who were last seen More than 60 days ago to send a reminder newsletter.

This filter can help you create dynamic participant groups that update themselves.

  • Before: enter a calendar date and see all participants who last logged on before this date.

  • After: enter a calendar date and see all participants who last logged on after this date.

  • More than: see participants who last logged on More than [x] days ago

  • Less than: see participants who last logged on Less than [x] days ago
