Manage Documents in the Submissions Manager

Use the Submissions Manager to manage, edit, and publish files uploaded by participants on a survey.

In some surveys, respondents are encouraged to upload a file as part of the submission. Admins can manage these files using the Submissions Manager. The Submissions Manager can help you:

  • Filter your list of received files by project, survey, date, and search by name, document, or ID

  • View response and respondent details

  • View, download, or rename the file submission

  • Change the file status from Pending to Reviewed

  • Publish the file to the project’s Documents widget

To use the Submissions Manager, you must include a survey with a file upload question so that respondents can upload their submissions. Additionally, you can only publish uploaded files if you have a Documents widget on the project.

Using the Submissions Manager

To use the Submissions Manager:

  1. Expand Reporting in the main menu and select Submissions Manager.

  2. Use the Select Project and Select Survey drop-down menus to choose the relevant project and survey and then select a date range. All uploaded documents from the survey and matching the date range will be listed for each response.

  3. You can select the ID for each document submission to see the respondent’s other Survey Responses.

  4. Select the Respondent screen name to see their Signup Form Responses. Please use the Survey Tool Report to see all survey responses, including those that do not include a file submission.

  5. When you hover over the file name, you will see options to Rename Document and Open in New Tab. You can only rename unpublished documents.

  6. Use the Review Status column to switch between Pending and Reviewed to help you with workflows. A blue dot indicates Reviewed files.

  7. If you have a Documents widget on your project, you can use the Publish option to choose the correct widget or document folder and Publish the file to your live project page. A green dot indicates published files.

  8. Select the Download button to download the file to your computer. Each response ID will download as a zip file containing the uploaded documents. Please note that the ZIP file download link may be emailed to you if you download large files and have HTML emails enabled in Site Settings.

Publish File Submissions to a Documents Widget

The Publish feature in the Submissions Manager lets you choose which file(s) to publish to an existing Documents widget or folder. Check each file you want to publish under Select Submissions to Publish and then choose the widget or folder you Publish it to.

Once published, you must go to the Documents widget and manually select the file to make it visible on the project page.

You can also publish files to a hidden folder if you’re not ready for them to be visible yet and use the same dropdown to Unpublish it.

Please note that you must have a Documents widget on the project to publish your files and that you cannot publish one file to two different widgets or folders. When bulk publishing files, any documents that are already in a published state are ignored.

Bulk Actions in the Submissions Manager

You can perform bulk actions using the check box next to each response to select multiple files. You can select responses across multiple pages in the Submissions Manager and use the search or filters to narrow down to the required files. With your files selected, you can perform the following bulk actions:

  • Mark as Reviewed

  • Mark as Pending Review

  • Publish

  • Unpublish

  • Download All

When downloading, each response ID will have its own file in the compressed zip file, and the more documents you download, the greater the chance of receiving an emailed download link.

Search, Filter, and Sort Responses

Use the search, filter, and sorting options to help you manage your file submissions. You can:

  • Use the date range drop-down to choose responses from a specific period.

  • Use the search bar to search by file name, file extension, respondent name, or response ID.

  • Filter by Question in the Submissions column for survey responses that include submissions from multiple questions.

  • Use the Publish Status filter to show only Published or Unpublished files.

  • Switch between the Pending Review or Reviewed tabs to filter by Review Status.

  • Sort by Response ID or the Received on date.

You can simultaneously use all the available search, filter, and sort options to narrow your submissions list.
