Create Dynamic Groups to Communicate with Participants

Use time-based filters to create groups that welcome participants, keep them engaged, and prevent them from slipping away.

When a new participant registers on your site, you want to ensure they stay engaged and encourage them to participate. There are two ways to do this:

  • Use the Joined filter to create a dynamic group of new participants and send a welcome Newsletter, including some consultations and tools you are currently running.

  • Use the Last seen filter to create a dynamic group of participants who haven’t logged in for a while and send a Newsletter encouraging them to reengage

These filters allow you to create dynamic groups using date ranges. Because the groups are time-based, they will automatically update with different participants as the specified date ranges pass.

To create a dynamic group of participants who registered within the past week:

  1. Go to Participants in the main menu and select + Filters.

  2. Choose the Joined filter, enter 7 in the Less than field, and select Apply Filter.

  3. Select Group, enter a Group name, and Save.

This group will self-update as new participants register, as it will use the current calendar date minus 7 days to select which participants are relevant. So, if you send the same welcome Newsletter eight days apart, it will be sent to different recipients.

Conversely, you can create a dynamic group of participants who haven’t logged in for 60 days:

  1. Go to Participants in the main menu and select + Filters.

  2. Choose the Last seen filter, enter 60 in the More than field, and select Apply Filter.

  3. Select Group, enter a Group name, and Save.

You can now use this group to send a Newsletter reminding participants to engage and about upcoming consultations. As this group will only hold participants who have not logged in for 60 days, if a participant receives your email and then logs in, they will be removed from the group.
