Analyze free-text responses using tags in Text Analysis

Text Analysis is one of our reporting tools. It allows you to tag, organize, and analyze free text responses from all tools, including guestbook and forum comments, idea posts, and essay and single-line questions in surveys.

For example, you can search the responses to an essay question in your survey for "park" to see all answers in which the word park appears. You can then categorize them individually or in bulk using a tag and generate a report to extract all free-form answers about parks.

To use Text Analysis:

  1. Go to Reporting > Text Analysis in the main menu.

  2. Use the drop-down menus to Select a project, Select a tool, and a date range and select Update to see the list of text responses for that tool.

  3. If you select a survey to analyze, an additional drop-down box will appear for you to choose a specific question. To analyze all questions, you’ll need to download separate reports to consolidate them.

  4. Start the analysis by using the search box to look for keywords. You can also use the dropdown for advanced search options, including multiple words, excluding words, or word type. You can also filter by existing tags; the Filter by tags options will show you all tags applied to the selected tool but will not list tags from all tools in the selected project.

  5. Use the Add a tag box to type in your tag and press enter, or search for and select existing tags. Tags are case-sensitive, so “Park” and “park” will be different tags, and once you add a tag it becomes available for other responses.

  6. Once you add a tag, it will display alongside the comment. You can remove the tag by selecting the x button next to it.

  7. You can also tag multiple responses at once by checking the box next to each comment or checking Select all and using the Add a bulk tag field. To delete tags in bulk, expand the Filter by tags dropdown and select Delete next to the tag. You will need to Confirm before deleting it, which will only remove the tag from responses in the currently selected tool.

  8. Select Download report to download an Excel file of your text responses, tags and Sentiment Analysis.

In Text Analysis, you can also Filter by Demographics. Tags you add in Text Analysis are admin-facing only.
